EAGLE HISTORIC PRESERVATION COMMISSION
Minutes of the Meeting of September 11, 2008
Call to Order: The meeting was called to order by Chairman, Jason Pierce, at 6:01 p.m.
Role Call: Commission members Jason Pierce, Betty Fisher, Gwen Sears, Shari Sharp,
and Nancy Suiter were present. Also attending were Eagle City Councilman, Mike
Huffaker and Curator, Laurie Baker.
UNFINISHED BUSINESS
Approval of Minutes: Shari Sharp noted there was no identification of the dissenting
voter in the minutes of the August 23, 2008, special meeting of the Commission. She
asked that the minutes be changed to reflect that it was Nancy Suiter's vote. Shari Sharp
then moved, and Betty Fisher seconded the motion to accept the minutes of August 14,
2008, as written and the minutes of August 23, 2008, as amended. The motion carried.
Curator's Report: Ms. Baker reported that Charley Caxton, of Caxton Printers, will
pick up the manuscript of the Arthur Hart book tomorrow.
Approval of Expenditures: Ms. Baker said that, as requested, she has devised a new
form enumerating costs for every item purchased since the last report on expenditures
with the exception of the week immediately preceding the Commission meeting as those
bills are not yet available. Nancy Suiter moved and Jason Pierce seconded the motion to
accept the report. The motion passed.
Donation Review Form: There were no donations this month. Ms. Baker said she is
writing an article specifYing the kinds of donations the Museum needs and the stories of
Eagle's history to which they should relate. This article will appear in the next issues of
the Eagle Independent, the Eagle Informer, and the Valley Times. There will be posters
in the Museum graphically showing this message to visitors and a message regarding this
subject will also appear on the City of Eagle website; w\vw.cityofcaglc.org.
2008/2009 Budget: See Curator's Report.
Eagle Auto Fest: Not all the bills from the Fest are in yet so Ms. Baker cannot tell if
there will be any financial gain this year, but she did report that while there were 78
participants in the Fest last year, this year there were only 44, and the club's interest in it
seems to be fading. She expects there will be a follow up meeting between herself and
the club members.
Images of America Photo History Proposal: Since there have been objections on the
part of some Commission members to Ms. Baker authoring the Images of America book
on Museum time, she offered the proposal that she and her husband, Ron Baker, work on
the book on a volunteer basis on their own time. She pointed out that they are both
experienced authors and the only thing connected to the project that would have to be
done on Museum time would be collating the photographs, which is a normal part of her
duties at the Museum. Since Arcadia Publishing will be the publisher of the book, unlike
the Hart book for which the Museum was the publisher, there would therefore be no cost
to the Museum. City Council liason, Mike Huffaker, spoke on behalf ofthe project, as
did Commissioner, Nancy Suiter, who then moved the proposal be accepted. There being
no clear agreement among the remaining Commissioners, the motion was tabled.
At this time, Gwen Sears tendered her resignation from volunteering for the Museum. To
clarifY, Nancy Suiter, Commission Secretary, asked Ms. Sears if she intended to resign
from the Commission as well. She replied she did not.
Museum Furniture Rearrangement: In October members of the Eagle High School
Key Club will be painting display cases while the City maintenance crew moves
furniture. At the August meeting the Commission members approved a motion to close
the Museum while that work is taking place. Ms. Baker reiterated that a closure of one
week would be needed. The Commission agreed to the closure.
Curator's Performance Evaluation: As it appeared no one had completed the
evaluation form by the time of the meeting the matter is postponed to a later, unspecified
date.
NEW BUSINESS
Eagle Elementary School of the Arts Display Request: There was some discussion as
to the appropriateness of displaying children's art in the museum although all agreed it
was important to encourage and support these activities in our community. Jason Pierce
moved that Laurie Baker contact someone at the school for more information regarding
the request. Betty Fisher seconded the motion. The motion passed.
2009 Calendar Project: Ms. Baker is currently gathering material for the 2009 Historic
Eagle Calendar that the Eagle Historical Society will sell at the Eagle Christmas Bazaar.
A question was raised regarding Ms. Baker's use of her personal credit card for some
Museum expenses and then submitting bills to the City for re-imbursement. This is
sometimes necessitated by the unavailability of the City's credit card when she needs it.
Jason Pierce expressed concern about this and suggested she fmd some other method of
payment. Ms Baker agreed to look into the matter and report back at the next
Commission meeting.
Adjournment: There being no further business at this time, Nancy Suiter moved the
meeting be adjourned. Gwen Sears seconded the motion. The motion passed and the
meeting was adjourned at 8:30 p.m.
