Minutes - 2008 - Historic Preservation Commission - 05/08/2008 - Regular EAGLE HISTORIC PRESERVATION COMMISSION Minutes of the Meeting of May 8, 2008 Call to Order: The meeting was called to order by Chairman Jason Pierce at 6:00 p.m. Roll Call: Betty Fisher, Jason Pierce, Gwen Sears, and Shari Sharp attended. Also present were Eagle City Councilman, Mike Huffaker and Curator, Laurie Baker. Nancy Suiter had an excused absence. UNFINISHED BUSINESS Approval of Minutes: Betty Fisher moved and Gwen Sears seconded the motion to approve the minutes of April 10, 2008. The motion passed. Curator's Report: Laurie Baker reported she is approximately half-way through making the editing changes to the Hart manuscript in the computer. The pictorial inserts are also ready with the exception of four that the curator has to take herself. She hopes to be able to submit the manuscript for pre-press manipulation by the end of the month. She has spoken to the Commission's Caxton press representative as well and he has indicated that the actual press time might be as little as six weeks. Renovation of the museum's new office and archive are complete. Dave Rioux, the city maintenance man, helped a great deal in getting the office "up and running." Gwen is going to act as "gardener" for the two front planters and the archive window sign was successfully installed on May 6. Ms. Baker showed the Commission examples of the photographic cataloging system. These included properly preserved and labeled "original" photos and their browsing book counterparts for use by the public. Not many have been cataloged thus far, but the system is in place. Jason asked about appropriate computer back-up coverage for all important computer files and Ms. Baker informed him that she had a back-up hard drive waiting to be installed but had not yet been able to do so. Jason volunteered to install the hard drive and show Ms. Baker how to use it. Approval of Expenditures: This month's total expenditures were $1,862.30. Of this amount, $1,256.21 went towards completion of the office and archive. The remaining $606.09 went to office supplies, display supplies, and archival supplies. Gwen Sears moved and Betty Fisher seconded the motion to approve the expenditures. The motion passed unanimously. Donation Review: Donations for the month included Fisher family photos from Betty Fisher (on disk) and a portrait photo from Dan Friend for inclusion in Arthur Hart's book. Jason Pierce moved and Betty Fisher seconded that the donations be accepted. The motion passed unanimously. Arthur Hart's Book: See Curator's Report. Eagle Auto Fest, 2008: The decision was made to only solicit businesses that made some form of donation to last year's auto fest. Jason has made a new contact through his business who has offered to help with the fest. Betty will contact local businesses and it is hoped that we will be able to find at least one major sponsor. NEW BUSINESS "Farm and Barn" Exhibit: Joe Prin began installation of the first part of the "Farm and Barn" exhibit today. He hopes to be able to finish this "back porch" addition tomorrow and then he and Ms. Baker will discuss how best to complete the rest of the exhibit. Eagle Community Foundation Grant Application: The curator submitted an Eagle Community Foundation Grant Application to City Hall on April 30, requesting $600.00 in matching funds for the construction and graphic needs for the Farm and Barn exhibit. According to the City Hall press release accompanying the application form, awards will be announced sometime around the end of Mayor the beginning of June. Museum Floor Plan: Ms. Baker handed out new museum floor plans to all in attendance. Dave Rioux has agreed to "borrow" someone from Trautman to help him move the remaining museum cases from storage and set them up in the museum. The curator also talked about the immediate need for four display panels and handed out pictures and a price list of the panels she believes will best suit her purposes. The Commission agreed and she will go ahead and order the four panels and any necessary accompanying hardware. There being no further business before the Commission, Jason Pierce moved and Betty Fisher seconded that the meeting be adjourned.
