Minutes - 2007 - Historic Preservation Commission - 11/08/2007 - Regular THE EAGLE mSTORIC PRESERVATION COMMISSION MINUTES FROM THE MEETING OF: November 8, 2007 Call to Order: The meeting was called to order by chairman, Jason Pierce. Roll Call and Introductions: Commission members in attendance were Jason Pierce, Betty Fisher and Nancy Suiter. Guests attending were Gwen Sears and Eagle city councilman, Steve Guerber. UNFINISHED BUSINESS Approval of Minutes: Betty Fisher moved and Jason Pierce seconded the motion to approve the minutes of October 11, 2007. The motion passed. Curator's Report: Laurie Baker, Curator, expanded briefly on her written report for November 8, 2007. The discussion that followed focused mainly on the Arthur Hart book which is presently in limbo due to a lack of funds. Ms. Baker explained that budgeting for the book, done by her predecessor, included only enough money to pay Hart for writing it. She continued that in addition to the $4,540 needed to print 500 copies of the book, Caxton Printers would require $1,400 for the text and $10.00 per photograph to prepare the book for printing. She reminded the Commission the Adobe Creative Suite software is available for $549 ($1,100) but the learning curve for the program is steep and would require many hours of labor to master and then use to get the manuscript print-ready. Since the museum lacks the funds to either buy the software and use the hours of Ms. Baker's time, or to pay Caxton Printers for these services, she recommends putting the project on hold for now. In the meantime, Ms. Baker and museum volunteers have mailed letters to 500 Chamber of Commerce members asking them to consider sponsoring production of the book and pre-ordering copies. This action required many volunteer hours and cost approximately $500 including the amount needed to purchase first class postage. Ms Baker had asked the city clerk's office if the museum could use their bulk mailing permit and was told the city does not have one. Steve Guerber said the city does have non-profit status. He will check into this and report back to the Commission. Laurie Baker gave special mention to the pro bono work Marcia Way-Brady ofPrintworks contributed to the mailing by designing the attractive letter and preparing it for printing. Ms. Baker will send a thank you note to Marcia on behalf of the museum and the Commission. Kathy Moeller of the Idaho Statesman newspaper dropped by during the commission meeting and picked up information regarding Mr. Hart's book and will write about it and about the efforts being made to have it published in an upcoming "On The Town" column. Approval of Expenditures: Betty Fisher moved and Jason Pierce seconded the motion to approve the Curator's report on expenditures. The motion passed. Archive Management: In addition to reviewing the contents of her report for November 8, 2007, Laurie Baker said that efforts to update notification to donors continues. She is dealing with a six-year backlog so this will take some time to complete. 1 NEW BUSINESS Chamber of Commerce "History Notes": The Eagle Chamber of Commerce has asked the Curator to contribute material to their website. Ms. Baker will do this by extracting pieces from her monthly column for the Treasure Valley Journal. Museum Hours in December: The museum experiences a drop in attendance during the holidays and for this reason Laurie Baker suggested the Commission approve closing it after the annual Country Christmas celebration which will be Wednesday, December 1 this year, and leaving it closed through the rest of the month. Nancy Suiter moved the museum be closed during this time and, in addition, that the Commission suspend the December meeting. Jason Pierce seconded the motion which passed unanimously. Ms. Baker noted that although the museum will be closed to the public she will be working. The museum will reopen on January 2,2008, and the next commission meeting will be on January 10,2008. Other new business included the announcement that the Curator's husband, Ron Baker, has volunteered to talk to the Kiwanis and the Lions Club regarding the Arthur Hart book. Steve Guerber reported on the proposed historical display and/or plaque to be mounted in the lobby of the new business center nearing completion on west State Street. The building is located on the site of the former prune packing plant which operated there in the early part of the twentieth century. So far he has not had a response. He will contact the developer, Mark Guho, regarding this. Mr. Guerber also offered remarks on the success of the annual Living Museum and other fund raisers organized by Tom Couch, Curator of the Owyhee County Museum in Murphy, Idaho, and suggested the Eagle museum might benefit from some similar activities. Betty Fisher reported the Eagle Historical Society made approximately $580 selling cookbooks and packets of postcards, featuring pictures from the museum's archives, at the Eagle Christmas Bazaar. Betty then invited all present to her annual potluck Christmas party to be held at noon on December 10, 2007, at her home. There being no further business Nancy Suiter moved and Betty Fisher seconded the motion to adjourn.
